License Management

Our group of companies is an official Microsoft partner. Our services include the development, implementation, and expert consulting for Microsoft Business Central and Navision systems, as well as comprehensive management of new and existing licenses.

License Types and Options

For Business Central, licensing options include On-Premise (perpetual), Subscription, and SaaS (cloud).
The cloud-based (SaaS) version of Business Central can be licensed on a per-user basis (named user). Licenses can only be purchased through a Microsoft partner. Each user (who wishes to use the system) requires a separate license. There are “full user” licenses (Essentials/Premium) and “Team Member” licenses with limited permissions. Entitlements and permissions together determine exactly what can be done with a given license.
Business Central On-Premises: You purchase licenses for a one-time fee, granting you perpetual use rights. It can be run on an internal server or in your own IaaS environment. This licensing option is no longer available for new licenses.
Subscription Licensing: You use it as a subscription for a periodic (e.g., annual) fee; it offers greater flexibility and makes it easier to adjust the number of licenses. Hosting can be on-premises or managed by a partner; it can also be IaaS.

Managing User Access

Microsoft Business Central licensing is based on the type of user access, so it is essential to accurately assess your company’s needs. There are two main license types: “Essentials/Premium,” which provides full functionality, and “Team Member,” which offers limited access. When determining license requirements, it is important to consider the depth and frequency with which each role uses the system. Full licenses are typically granted to those who perform transactional operations on a daily basis, while lower-level access is sufficient for occasional users. Regular review of permissions ensures cost-effective operation. A well-designed licensing structure supports scalability and the optimization of IT costs.

Licensing of Updates and Add-ons

With Microsoft Business Central, updates are automatically available as part of the cloud-based service, so there are generally no additional costs associated with version tracking. New features and enhancements are rolled out on an ongoing basis and are available to all customers with an active subscription. Licensing for add-ons (apps) may vary: some solutions are included in the standard package, while others require a separate subscription. Third-party add-ons or those from AppSource are often priced based on the number of users or functionality. It is important to note that maintaining and updating custom developments may incur additional costs. Companies should therefore plan ahead for the lifecycle and support of add-ons.

Software Tracking

The software maintenance service provided by HRP is a support and update service associated with Microsoft Business Central licenses (which includes Hungarian localization), ensuring that the system remains up-to-date and compliant with legal requirements. The fee is typically based on a specified percentage of the license value, so it scales proportionally with the company’s system usage. Software maintenance fees are in addition to license fees. The service includes access to version updates, compliance monitoring, and the option to utilize manufacturer support. It also ensures access to bug fixes and security updates. A key component is maintaining continuous compatibility within the Microsoft ecosystem. Software maintenance contributes to the stable operation of the system and the seamless implementation of future developments.

Licenses and Available Modules

Microsoft Business Central licenses include a number of integrated modules by default, covering a company’s core business processes. The “Essentials” package includes finance, sales, purchasing, inventory management, and project management. It also provides customer and supplier management, as well as basic reporting and analysis functions. The system supports multiple currencies and international operations. The “Premium” package includes additional features, such as production and service management. The modules are tightly integrated, enabling real-time data management. The core functionality provides a sufficient operational foundation for most small and medium-sized enterprises. The system can be expanded with additional add-ons and custom developments as needed.

Microsoft Azure - Sovereign Cloud

Microsoft Azure’s sovereign cloud solutions can be closely integrated with Business Central operations, for example through integrations, data connections, and complementary services. It is possible to process business data, generate reports, perform integrations, or develop custom solutions in the Azure environment in a way that is secure from a control and compliance perspective. Azure licensing (subscription model) provides the necessary infrastructure, such as virtual machines, database services, integration platforms, and security solutions. This allows solutions built around Business Central to scale flexibly while meeting the requirements for sovereign operation.
